Job Purpose

The Administrative Coordinator for the Academic Success and Retention Office is responsible for the efficient operations and day to day coordination of services to students, parents, faculty, staff and the general public.

Minimum Requirements

This position requires a bachelor’s degree, plus two years of employment experience in education administration. Candidates with an equivalent combination of experience and/or education are encouraged to apply.

Required Knowledge, Skills and Abilities

Requires exceptional organizational, time management, and communication skills. Must have the ability to use MS Office suite. Ability to supervise and direct student employees is essential. Knowledge of website maintenance and social media marketing is important. Must possess the ability to handle confidential records. Knowledge of higher education and Family Educational Rights and Privacy Act (FERPA). Knowledge of peer education and experience with student information systems is preferred.

Additional Comments Regarding Position

Occasional work outside of normal business hours may be required.

Student Support Workflow: Coordinates Academic Success and Retention Office (ASRO) student support workflow in a variety of areas.

  • Assists with Banner Document Management Suite (BDMS) Indexing.
  • Assists with Faculty/Staff Assisting Students in Trouble (FAST) , manages process from end to end
  • Assists in Late Withdrawal Petition (LWP) case creation in Maxient database.
  • Supports walk-in probation contract signing, workshop, tracking contract sign-up sheet and adding to SSI
  • Oversees email inquiries submitted to general office inbox
  • Facilitates Three Year Option submissions
  • Utilizes technology to document student interactions and engagements
  • Supports STEP re-admission process

Program Development: Participates in ASRO office policy development and coordinates student data collection and analysis

  • Develops familiarity and expertise on ASRO policies, procedures and issues regarding retention, and student success.
  • Participates in the department’s strategic planning process and provides recommendations to Director on how to improve departmental workflow and policy and procedures.
  • Collects and collates student data to facilitate monitoring of students’ academic progress and to support departmental assessment activities.
  • Coordinates departmental data on student visits and serves as primary resource for Appointment Manager system.
  • Responsible for managing a variety of office business processes. Regularly evaluates processes and makes recommendations for improvement. Provides professional office level management and ensures quality of work.
  • Provides training in administrative/management practices and procedures.
  • Assists Director with special projects and administrative tasks.

Office Management: Manages the the day to day operations of the Office and the Commuter Student Lounge

  • Answers the main ASRO telephone line.
  • Manages office supply purchases and maintains department purchasing card.
  • Assists with management of the Commuter Student kitchen, lounge, and lockers.
  • Coordinates special events sponsored by the department to include scheduling, food, room reservations and logistics of implementation.
  • Updates all website information regularly. Ensures website complies with the College’s brand manual. Maintains all online forms
